Hosting a Virtual Event

Due to the COVID-19 pandemic, many people in our campus community have moved their events to a virtual platform while we have been unable to gather in person. As we continue to work hard to make campus a safer place for a return, we do expect physical distancing to continue into the foreseeable future.  We understand that many people in our community may still prefer to host virtual events in order to minimize risk during the 2020-2021 academic year, so we want to provide you with as many resources as possible to set you up for success.

If you are considering a virtual event/conference, our team, along with our Media Services team, are here to help. Below we have a variety of packages that we offer. Package 1:  Full Virtual Event

Outward facing event to be streamed on YouTube or Facebook for audience members. Presenters will telelink via Zoom and UW Tacoma Video Producers will produce the show live and integrate any pre-recorded material needed. Q&A sessions and other audience participation methods can be accommodated in this format. UW Tacoma will collaborate with client on the creation of video assets (such as pre-recorded material, lower thirds, title cards, and transitions) to meet your brand standard.  Charges will include the following:

  • Production of content (lower thirds, title cards, compiling pre-recorded material)
  • Live production. Anticipate 2 hours of setup/breakdown time in addition to the event
  • 1 GB network access for YouTube feed
  • Administrative Fee

Package 2:  Small Hybrid Event (presenters on site, attendees on Zoom) 

*Currently unavailable at this time*

Ideal for small trainings where a few presenters are on site. UW Tacoma will provide a professional space, camera, and microphone as well as support to get your event up and running. Attendees or additional presenters are on Zoom*.  Charges will include the following:

  • Setup and breakdown of equipment and integration into Zoom**
  • 4k HD Pan tilt zoom USB camera
  • Professional microphone setup
  • 1 GB network access for Zoom*
  • Administrative Fee
  • Room Rental

*Client may provide their own virtual platform upon request (I.E. WebEx, Teams, Etc.)

**Client can request technician for duration of their event at the standard hourly rate of $60/hour

Package 3:  Large Hybrid Event (Combination of presenters/attendees on site)

Outward facing large event where not all presenters or attendees can attend. Event streamed on YouTube or Facebook for virtual audience members. Zoom is available for virtual presenters and UW Tacoma will provide a camera operator to capture the live presenters. Live presenters are integrated with Zoom virtual presenters who are also projected in the room. Q&A Sessions and other virtual audience participation methods can be accommodated in this format. UW Tacoma will collaborate with client on the creation of video assets (Such as pre-recorded material, lower thirds, title cards, and transitions) to meet your brand standard. Charges will include the following:

  • Production of content (lower thirds, title cards, compiling pre-recorded material)
  • Live production. Anticipate 2 hours of setup/breakdown time in addition to the event
  • 1 GB network access for YouTube feed
  • Microphone rental fee (fee changes dependent on amount of microphones needed)
  • Administrative Fee
  • Room Rental
