Committee Overview
The Council for Campus Engagement (CCE) is a student-run and led committee charged with allocating funding received from the services and activities fee committee to both the campus event fund (CEF) and conference and training fund (CTF). The CCE includes student voting members, and the ASUWT Vice President who serves as the Ex-Officio chair for the council.

Campus Event Fund (CEF)
Campus Event Fund
The Campus Event Fund (CEF) can be applied to by any student or student organization on campus. Funding requests can include food, decoration, campus security wages, honorarium, prize funding, and other services related to event planning on campus. Interested in applying for funding for an on campus event?
Requirements for Events & Applications seeking funding:
- Any applicant applying for funding is required to create and propose events that are to open to all UW Tacoma Students regardless of race, color, religion, age, sex, national origin, handicap, sexual orientation, gender identity, or veteran status, including as a Disabled Veteran or Vietnam-era veteran.
- For any event to be considered for Campus Event Funding, the event must take place on the UW Tacoma Campus
- Any and all purchases for Campus Event Fund programs must comply with University policies and procedures. Applicants will receive support regarding these institutional policies from Conor Leary, Director of Student Involvement & Leadership.
- Any submission greater than or equal to $500 will require a meeting with the Council for Campus Engagement.
- Please note that filing an application does not guarantee funding. Students/faculty/staff who make purchases or commitments prior to receiving a detailed funding decision will not receive reimbursement for those expenses.
- Applications may be funded in full, partially, or denied by the Council for Campus Engagement. Should your application be funded partially, you will coordinate with Conor Leary, Director of Student Involvement and Leadership, to spend only the funds provided by the Council
- The council requires that all CEF requests be made at least six (6) weeks prior to the proposed event date.
- Failure to respond to emails and related efforts from ASUWT within 5 business days of receiving said email(s) will result in the denial of your request.
- If your submission is suspected to have been written using CHATGPT or related AI writing systems (high score on AI detection tool), the Council will deny your request.'
- All applicants should check the resources available for planning events that are available to all groups through the Center for Student Involvement

Budget Considerations
When proposing your events and building your projected budgets, please bear in mind campus expenses that may be associated with your event. Any pricing information will be calculated on the Campus Event Fund Budget document found on the Campus Event Fund application. Please read through the available information and explore the website to ensure that your budget reflects all possible funding needs.

- Factor in $65/hr per officer as they will be required to attend any event where:
- Money is being exchanged at the event
- Non-UWT students are attending
- They are requested by the event organizer
- The event takes place after or runs until after 5pm on weekdays
- The event occurs on the weeken
- Most common situation: You can request Guest/Visitor passes for performers, speakers, dignitaries, etc. at $9 for a general parking pass for campus. These cannot be used by students

- For events that occur between 8am and 5pm on Monday through Friday, Factor in $60/hr for a member of the Media Services Team to be present at your event if you select "Yes" to any of the following details on your 25Live Reservation:

- For events that occur outside of 8am and 5pm on Monday through Friday, on the weekends, or on any University Holidays, Factor in $90/hr for a member of the Media Services Team to be present at your event if you select "Yes" to any of the following details on your 25Live Reservation:

- Final cost will be provided by Media Services and should your event be approved for funding, Conor Leary will coordinate payment.
- Factor in $99/hr for any event that takes place outside and that needs power support
- Arrangements should be coordinated with UW Facilities to ensure that an electrician is aware that an electrical set-up is needed for your event
- Factor into an estimated $58/hr for a minimum of 2 hours for Custodial Services if your event fulfills any of the criteria listed here: https://www.tacoma.uw.edu/uuf/custodial-information-events
- While the Council may review and approve budget for food, that does not guarantee food at your event. The campus has policies in place regarding food. If approved by the CCE, you will then need to work with our advisor (Conor Leary) to secure the food at your event.
- It is important that if you are proposing an event with food that is not prepackaged and individually wrapped to submit a Temporary Food Permit Application to meet Environmental Health & Safety Parameters listed here: https://www.ehs.washington.edu/workplace/food-safety/food-permits-events. Submit this Temporary Food Permit application before submitting your Campus Event Fund application, to ensure that you have approval should you receive funding.

- If your event will have non-UW Tacoma students in attendance, your event will be required to have at minimum, a $5 entry fee for non-UW Tacoma attendees. The University works with our UW Marketplace service to accept admission or entry fees through credit card only, by online payment only. Cash should not be accepted at the door for a Campus Event Fund funded event.
- Based on funding provided, the Council for Campus Engagement may adjust the admission/entry fee cost for Non-UW Tacoma Students beyond the minimum $5.
- Those subject to admission/entry fees for Campus Event Fund funded events include: Non-UW Tacoma Students, Non-Registered UW Tacoma Students, UW Tacoma Faculty, UW Tacoma Staff, Tacoma Community members, visitors, family members, and guests.
- Non-UW Tacoma students also includes UW Tacoma students who are not currently registered for classes in the quarter when your event is taking place. Checking any attendees in on DubNet will show you if that person is registered. If they're not registered, they have not paid the Services and Activities Fee for that quarter and should pay the fee to enter.
- Those not subject to admission/entry fees for Campus Event Fund funded events include: Currently Registered UW Tacoma Students, RSO/Event Advisor attending the event, UW Tacoma Staff Members executing a service for the event, Vendors executing a service for the event, and Performer/Speaker/Panelists supporting the execution of the event
- Why is there a charge for admission/entry for non-UW Tacoma Students?
- Students should be the primary audience that directly benefits from the Campus Event Fund, because students pay the fee to support the many resources and services funded, including the Campus Event Fund. Charging a fee for non-UW Tacoma Students allows them to add to the fund that supports campus engagement opportunities on campus.
- Can an event that has received Campus Event Fund charge currently-registered UW Tacoma Students for entry/admission?
- No. Students have already paid for their entry with their registration and by paying the Services and Activities Fee
- What happens to the funds that are collected?
- These funds are collected into the Campus Event Fund budget to be allocated to other campus events.
Campus Event Fund Applications will be accepted beginning on August 1, 2026 at 8am.
Reminder: Your event should be submitted 6 weeks before the proposed date of your event. This provides time for the Council for Campus Engagement to review and determine their decision, while allowing your event to align with all University deadlines and standard practices.
Conference & Training Fund (CTF)
Conference & Training Fund
The Conference & Training Fund (CTF) can provide financial support to UW Tacoma students who believe and can emphasize how their attendance at a particular conference will enhance their education, promote UW Tacoma beyond campus, and bring important or worthwhile knowledge back to campus, to benefit students.
Requirements for Events & Applications seeking funding
- UW Tacoma Students are eligible for consideration of funding, based on its availability, regardless of race, color, religion, age, sex, national origin, handicap, sexual orientation, gender identity, or veteran status, including as a Disabled Veteran or Vietnam-era veteran
- Students enrolled in the following programs are not eligible to receive CTF allocations, as they do no pay the Services and Activity Fee (SAFC):
- Master of Accounting
- Master of Cybersecurity and Leadership
- MEDEX
- Students enrolled in the following programs are not eligible to receive CTF allocations, as they do no pay the Services and Activity Fee (SAFC):
- The Conference and Training Fund, in accordance with UW Tacoma financial policies and procedures, can ONLY pay for:
- Primary travel costs (plane, train, or bus to your conference location)
- Registration Fees
- Lodging (must be within 5 miles of Conference Location)
- The Conference and Training Fund cannot pay for:
- Secondary Travel costs (taxis/shuttles from airport to residence/conference location, intra-city travel for conferences, etc)
- Food Expenses
- Incidental expenses during travel
- Car Rentals
- Baggage Fees
- Seat Upgrades
- Any expense not listed under the previous bullet
- Please note that filing an application does not guarantee funding. Students who make purchases or commitments prior to receiving a detailed funding decision will not receive reimbursement for those expenses if funding is not approved.

- Expenses will be primarily handled and booked by Conor Leary, Director of Student Involvement and Leadership.
- Non-Hotel Lodging cannot be purchased by the University. If your application includes the cost for an Airbnb, Vrbo, or similar lodging service, you will need to book that yourself and apply for reimbursement.
- If your application includes a request for funding to cover primary travel costs (fare for air travel, train, or bus), your application must be received at least eight (8) weeks before the date of travel or any requirements for your conference (such as registration deadlines).
- If your application does not include a request for funding to cover primary travel costs, your application must be received at least six (6) weeks before the conference date or any requirements for your conference (such as registration deadlines).
- Reimbursed Expenses: You are able to submit applications for personal reimbursement of conference expenses. You would use the same application and the Council would review your request upon request. Please remember that funding is never guaranteed for expenses, whether they have been paid already or not

- If seeking reimbursement for Lodging expenses, lodging must be within 5 miles of the conference location
- Any request greater than or equal to $1,000.00 may require the development of a presentation to the Council for Campus Engagement for consideration
- Your Presentation should include:
- Chosen flight path & related fees
- Registration fees
- Intended lodging & related fees
- What you hope to gain from attending this trip
- What you will bring back to the greater UW community and how this trip will benefit our school. This can be accomplished by presenting to a class, colleagues, or hosting an event to share the information that you've learned.
- If you are bringing more than one student on this trip, be prepared to explain why more than one student will need to go.
- Your Presentation should include:
- Multiple Request for the Same Conference- Due to funding limitations, the Council for Campus Engagement will strive to send a maximum of 2 students per conference and this will be determined on a first-come, first-serve basis
- Single Requests with Multiple Attendees included: Due to funding limitations, the Council for Campus Engagement will strive to send a maximum of 2 students per conference and this will be determined on a first-come, first-serve basis
- Any recipient of the Conference and Training Fund will be required to provide a post-conference report, presentation, or event. This will be assigned with any approved funding and students will have an established timeline to complete the world. Failure to do so may affect future applications for the Conference and Training Fund.
