SAM Hiring (Paid Positions for Student or Temp Staff)

Main Content

Important Note #1: UW Environmental Health and Safety (EH&S) highly recommends that students do not use chemicals outside of business hours*.  We also recommend that if you are in the lab outside of business hours*, you inform someone outside of the lab of your location.  Please inform your researchers to fill out the THIS FORM if they will be working in the lab outside of business hours.  If you have any questions regarding this, please reach out to your Division Chair or the SAM Divisional Manager.

*Outside Business hours are defined as any weekday between 5:00pm – 8:00am, all weekends, and all holidays.

Important Note #2: Beginning 10/1/2020, prior to official offer of employment for all UW student staff including Graduate Students (with the exception of Student Assistant positions) and all staff positions, UW is required to ask final candidates who are not already UW employees to sign a statement disclosing whether the final candidate:

  • Is the subject of any substantiated findings of sexual misconduct in any current or former employment

  • Is currently being investigated for sexual misconduct at any current employer

  • Has left a position during an investigation into a violation of any sexual misconduct policy at any current or past employers

For any positive response, final candidates are required to provide an explanation of the situation.

At What Point in the Hiring Process is the Disclosure Required and Who is Sending it to the Final Candidate?

  • For all staff non-student positions, a UWHR employment specialist will initiate the sexual misconduct declaration in UWHires when the salary approval request is submitted; the candidate will then receive notice to submit the disclosure (this is before the background check is initiated).

  • For student hires (with the exception of Undergraduate Student Assistants), the hiring department specialist (i.e. SAM Divisional Manager) will reach out to the student via email to complete the sexual misconduct declaration form before an offer is made and the hiring department specialist will submit this form to HR.  Once the hiring department manager receives email confirmation from UW HR that the form has been processed, ONLY THEN can the hiring department specialist submit the hiring paperwork within Workday.

It is best practice to mention to your hires during your interview process, that prior to their hiring paperwork being processed, they will be required to complete the sexual misconduct disclosure.  For more information, please see the sexual misconduct disclosure policy website.
