Using the Event Form

Objective: Learn about some notable features on the new event form, which is replacing the multi-page event wizard on the evening of November 5, 2020. You may enable the event form ahead of Nov 5 by clicking the blue opt-in button in 25Live Pro. 

NEW LAYOUT

  • The event form has a scrolling, single-page layout. Shortcuts to the various fields are located on the left-hand side of your screen (when in full desktop mode).
  • Collapsible help icons are found throughout the event form, which contain instructions or links to supporting webpages with more info.

PREVIEW BUTTON

  • Located on the bottom right-hand corner of your screen, the "preview" button allows you to quickly view a summary of your draft reservation at any time.
  • This is useful if your reservation has multiple meeting dates with different meeting times and many locations. 
  • Best practice: preview your event form before clicking the "save" button.

SUPPORTS COMPLEX DATES/TIMES

  • The interactive calendar allows you to easily select multiple dates (image C).
  • The event form supports multi-date reservations with different meeting times (image D).

LOCATION GRID 

  • 25Live checks for the availability of locations at your specified dates/times and displays results in an table. 
  • Use the UWT location public searches to quickly see a list of space options. (image E).
  • If you prefer to manually search for a location, then type in the "search locations" field. If necssary, click the "reset" link found next to the "search" button to activate the "search location" field. You may type building short names (e.g. DOU for Dougan, CP for Cherry Parkes) or room numbers (e.g. 105 will pull up CP 105 and SCI 105; 110 will pull up ADMC WCG110). It is not recommend that you use "more options" at this time. This is a tri-capus system and you may feel overwhelmed by all of the options (image F).
  • The "conflict details" link will give you more infromation about location conflicts. Use the "reserve" or "request" buttons found in the first column to make selections. You may choose one or more available spaces for your event (image G).
  • Then after selecting your locations, use the "view occurrences" button for each location to assign/unassign on specific occurrences, to select layout options, and more.
